Terms and Conditions

These Terms and Conditions govern your access to and use of the TripEase Concierge Services website, booking channels, transport services, fleet rental services, and concierge services.
By using our website, submitting a booking request, requesting a quotation, or using our services, you agree to these Terms and Conditions.
1. About TripEase Concierge Services
TripEase Concierge Services provides transportation and concierge services in Ghana, including private pickups, airport transfers, corporate shuttles, university shuttles, event shuttle services, fleet leasing, fleet rentals, chauffeur services, hotel booking support, errand support, and related services.
2. Use of Our Website
You agree to use our website only for lawful purposes. You must not:
- Submit false, misleading, or fraudulent information
- Interfere with the security or operation of the website
- Attempt to gain unauthorised access to our systems
- Use the website to harass, threaten, defame, or abuse others
- Copy, reproduce, or misuse our content, branding, or materials without permission
3. Bookings
Bookings may be made through our website, phone, email, WhatsApp, or other approved communication channels.
A booking is only confirmed when TripEase Concierge Services accepts the request and confirms the details with you.
You are responsible for providing accurate booking information, including your name, contact details, pickup location, dropoff location, date, time, flight details where relevant, number of passengers, luggage details, and any special requests.
4. Pricing and Quotations
Prices may vary based on service type, vehicle type, distance, time, waiting time, fuel costs, route, number of passengers, special requests, and other operational factors.
A quotation is valid only for the period stated in the quotation. If no validity period is stated, TripEase Concierge Services may revise the quotation before confirmation.
Additional charges may apply for waiting time, route changes, extra stops, late night service, tolls, parking, airport charges, extended service time, cleaning, damage, or special requests.
5. Payment
Payment terms will be communicated during booking or quotation.
TripEase Concierge Services may require full payment, partial payment, or a deposit before confirming a service.
Where payment is not made on time, we may suspend, cancel, or refuse the booking.
All payment confirmations must be accurate. Fraudulent or reversed payments may result in cancellation of service and further legal action.
6. Cancellations and Refunds
Cancellation terms may vary depending on the service requested.
Where a customer cancels after a driver, vehicle, or third party arrangement has already been assigned, cancellation fees may apply.
Refunds, where applicable, will be processed using the method and timeline determined by TripEase Concierge Services.
No refund may be given where the customer provides wrong information, fails to appear at the pickup location, refuses the service without valid reason, or breaches these Terms.
7. Pickup, Waiting Time, and Delays
Customers must be available at the agreed pickup location at the agreed time.
Waiting time may attract additional charges.
TripEase Concierge Services will make reasonable efforts to arrive on time. However, we are not liable for delays caused by traffic, road closures, weather, accidents, security incidents, government restrictions, vehicle breakdowns, incorrect information provided by the customer, or events outside our reasonable control.
8. Airport Transfers
For airport transfers, customers must provide accurate flight details.
TripEase Concierge Services may monitor flight information where possible, but the customer remains responsible for informing us of flight changes, cancellations, delays, or rescheduling.
Additional waiting time, parking, airport charges, or late arrival charges may apply.
9. Customer Conduct
Customers must treat drivers, staff, vehicles, and partners with respect.
We may refuse or terminate service without refund where a customer:
- Is abusive, violent, threatening, or disorderly
- Attempts to overload the vehicle
- Carries unlawful items
- Damages the vehicle
- Refuses to follow safety instructions
- Provides false information
- Places the driver, passengers, vehicle, or public at risk
10. Luggage and Personal Belongings
Customers are responsible for their personal belongings, luggage, devices, documents, and valuables.
TripEase Concierge Services is not responsible for lost, stolen, forgotten, or damaged items unless loss or damage is directly caused by proven negligence on our part.
If an item is found in a vehicle, we will make reasonable efforts to return it to the owner.
11. Vehicle Availability
We aim to provide the requested vehicle type where possible. However, we may provide a similar or suitable alternative vehicle where the requested vehicle is unavailable due to maintenance, breakdown, scheduling, safety, or operational reasons.
12. Fleet Leasing and Rentals
Fleet leasing and rental services may be subject to separate written agreements.
Customers using leased or rented vehicles must comply with agreed usage terms, payment terms, insurance requirements, maintenance rules, driver rules, return conditions, and damage responsibility provisions.
TripEase Concierge Services may refuse, suspend, or terminate fleet rental services where there is misuse, non payment, unsafe use, breach of agreement, or risk to the vehicle.
13. Concierge Services
Concierge services may include support with hotel bookings, chauffeur arrangements, errands, travel support, and related convenience services.
Where we assist with third party services, the third party provider remains responsible for the actual delivery of that third party service.
TripEase Concierge Services is not liable for failures, delays, price changes, cancellations, or service quality issues caused by third party providers.
14. Corporate, University, and Event Shuttle Services
Corporate, university, and event shuttle services may be subject to separate arrangements, schedules, service levels, passenger rules, payment terms, and written contracts.
The client is responsible for providing accurate schedules, passenger numbers, pickup points, contact persons, and operational requirements.
15. Safety
Safety is a priority for TripEase Concierge Services. Customers must wear seatbelts where available and follow reasonable safety instructions from the driver or company representative.
TripEase Concierge Services may refuse any trip or route considered unsafe, unlawful, impractical, or unreasonable.
16. Limitation of Liability
To the extent permitted by law, TripEase Concierge Services will not be liable for indirect loss, loss of profit, missed flights, missed appointments, business interruption, emotional distress, or consequential loss arising from use of our website or services.
Our liability for any valid claim shall be limited to the amount paid by the customer for the specific service giving rise to the claim, unless the law requires otherwise.
17. Force Majeure
TripEase Concierge Services is not liable for failure or delay caused by events beyond our reasonable control, including traffic disruption, accidents, strikes, public emergencies, road closures, severe weather, fuel shortages, power outages, internet failure, government action, civil unrest, or natural disasters.
18. Intellectual Property
All website content, text, graphics, branding, logos, images, designs, and materials belonging to TripEase Concierge Services are protected by applicable intellectual property laws.
You may not copy, reproduce, modify, distribute, or use our materials for commercial purposes without written permission.
19. Privacy
Your use of our website and services is also governed by our Privacy Policy. By using our services, you consent to the collection and use of your information as described in that policy.
20. Complaints and Feedback
Complaints or feedback may be sent to us through our official contact channels.
We will make reasonable efforts to investigate complaints and resolve issues fairly. Customers must provide accurate booking details, evidence where available, and a clear description of the issue.
21. Changes to These Terms
TripEase Concierge Services may update these Terms and Conditions from time to time. Updated terms will be posted on our website with a revised effective date.
Continued use of our website or services after changes are posted means you accept the updated Terms.
22. Governing Law
These Terms and Conditions are governed by the laws of the Republic of Ghana.
Any dispute arising from these Terms, the website, or our services shall be handled in accordance with the laws and dispute resolution processes applicable in Ghana.
